1. Scope and responsible organization

This Privacy Policy applies to services operated by Softsport Technologies Limited ("Softsport", "we", "our", or "us"), including:

• www.softsport.co.ke;
• the Softsport football-management administration platform;
• www.fkfleagues.co.ke and associated public football services; and
• related mobile applications, support services, and integrations.

Organizations using Softsport may also determine how information about their administrators, officials, teams, players, or competitions is managed. Questions about a record entered by a league or federation may need to be handled by that organization as well as by Softsport.

2. Information we collect

Information you or an authorized organization provides

• Account details such as name, username, email address, telephone number, role, and organization.
• Identity and profile information, which may include an identification number, profile or passport photograph, and information required to administer football participants and officials.
• Competition and operational information, including teams, players, fixtures, appointments, match reports, results, communications, and uploaded documents.
• Support enquiries and communications sent through email, telephone, WhatsApp, contact forms, or support tools.

Information collected automatically

• IP address, browser and device type, operating system, referring page, pages viewed, and approximate location derived from an IP address.
• Login, security, audit, error, and activity records used to operate and protect the services.
• Cookie and analytics information, subject to available consent and preference controls.

3. Google Sign-In data

When you choose Sign in with Google, Softsport requests only the Google email and profile scopes needed to authenticate you and link the correct Softsport account.

Depending on what is available in your Google profile, we may receive:

• your Google account's unique identifier;
• email address and email-verification status;
• given name and family name; and
• profile-picture URL.

We use this information for authentication, account linking, account security, and displaying appropriate profile information. Softsport does not request access to your Gmail messages, Google Drive files, contacts, calendar, or Google account password through this sign-in process.

Softsport's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.

4. How we use information

We use information where necessary to provide requested services, fulfil contractual responsibilities, comply with legal obligations, protect legitimate operational and security interests, or act with consent where required. Uses include:

• registering, authenticating, linking, and administering user accounts;
• managing competitions, teams, players, officials, fixtures, results, reports, and related workflows;
• sending account, appointment, security, recovery, and service communications by email or SMS;
• responding to support requests and resolving technical problems;
• detecting abuse, investigating security events, maintaining audit trails, and enforcing access controls;
• backing up, maintaining, analysing, and improving the services; and
• complying with applicable law and lawful requests.

5. Cookies and analytics

Our services may use essential cookies for sessions, security, preferences, and core functionality. We may also use Google Analytics or similar tools to understand aggregate service usage and performance.

Analytics information can include device and browser information, pages visited, session duration, referring source, approximate location, and an IP address processed according to the provider's settings. You can control non-essential cookies using available consent controls or browser settings. Disabling essential cookies may prevent some services from functioning correctly.

6. Sharing and disclosure

We do not sell personal information. We may disclose limited information:

• to the federation, league, club, tournament, or other organization authorized to administer the relevant service;
• to vetted hosting, analytics, email, SMS, security, backup, and technical service providers acting for us;
• when a user directs us to publish information through public fixtures, standings, team, player, news, or competition features;
• to protect users, Softsport, or the public from fraud, abuse, security threats, or unlawful conduct; or
• when required by applicable law, regulation, court order, or lawful governmental request.

Service providers receive only the information reasonably necessary for their assigned function and are expected to protect it appropriately.

7. Data retention and deletion

We retain information only for as long as reasonably necessary to provide the services, maintain reliable competition and audit records, meet contractual commitments, resolve disputes, protect security, and comply with legal obligations. Retention periods vary according to the type of record and the instructions of the organization responsible for it.

When information is no longer required, we delete, anonymize, or securely isolate it. Data may remain temporarily in protected backups until the relevant backup cycle expires.

To request account deletion or deletion of Google-linked information, contact us using the details below. We will verify the request and explain any information that must be retained for lawful or legitimate purposes.

8. Security and international processing

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These include access controls, authentication protections, secure communications, logging, and backups where appropriate.

No internet service can guarantee absolute security. Information may be processed by service providers in other countries, subject to appropriate safeguards and applicable data-protection requirements.

9. Your choices and rights

Subject to applicable law, including Kenya's Data Protection Act, 2019, you may have the right to:

• ask whether we process your personal information and request access to it;
• request correction of inaccurate or incomplete information;
• request deletion, restriction, or objection to certain processing;
• request portability where applicable;
• withdraw consent without affecting earlier lawful processing; and
• complain to the Office of the Data Protection Commissioner or another competent authority.

You may disconnect Google Sign-In through your Google Account permissions. Disconnecting Google does not automatically delete an independently maintained Softsport account or records that Softsport must retain. Contact us to request deletion.

10. Children's information

Softsport's administration accounts are not intended for children. Football organizations may maintain participant information, including information about minors, where they have authority and a lawful basis to do so. The responsible organization must obtain any required consent and apply appropriate protections.

11. Changes to this policy

We may update this Privacy Policy when our services, practices, or legal obligations change. The updated version will be posted here with a revised effective date. Material changes may also be communicated through the service or appropriate contact channels.
